WHY IT DECIDES EVERYTHING
A Tool That Cannot Reach Your Data Is a Toy
Demos work because the vendor’s data is already in the vendor’s system. Your business runs on a practice management platform, an accounting package, a document store, and an email system that were never designed to talk to each other, and the value of any AI workflow is determined almost entirely by how well it reaches across them.
This is unglamorous work and it is the difference between a tool people use daily and one that quietly lapses. It is also where the honest constraints live: some specialist software simply has no supported way in, and knowing that before you buy licenses is worth a great deal.
Integration is where a promising AI tool meets the systems a Dallas business actually runs, and it is where most of the work turns out to be. Because we also handle the managed IT for many of these companies from Plano, we already know what the tool has to connect to before the conversation starts.

Best to Worst, and When Each Is Right

Native features in software you already own
Always check first. No integration to build, no new vendor to vet, no additional data movement, and often no additional cost. The most common thing we tell clients they already have.

A supported API
Documented, versioned, and covered by your vendor agreement. Stable and easy to maintain. Worth confirming rate limits and which data the API actually exposes. It is rarely everything the interface shows.

Scheduled export and import
A nightly file drop. Unfashionable, entirely reliable, and appropriate whenever the workflow does not need to be live. Many processes we automate are perfectly well served by yesterday’s data.

Screen scraping and interface automation
A last resort. It breaks whenever the vendor changes a screen, it often violates terms of service, and it fails silently. We will build it when there is genuinely no alternative, and we will tell you plainly what you are taking on.
Ask the vendor before you buy, not after
“Does your platform have a documented API, what does it expose, and is it included in our tier?” is a question that changes purchasing decisions, and it is far easier to ask while you are still a prospect than once you are a customer.
Our practice management system has no API. Is that the end of it?
Not necessarily. Reporting exports, scheduled extracts, and database access are all worth investigating, and vendors sometimes have integration options that are not advertised on the website. Where there genuinely is nothing, we would automate a different process rather than build something fragile.
Should we use a no-code automation platform?
They are genuinely good for straightforward connections and we use them. The things to check are where your data travels and rests, whether the vendor will sign the agreements your data class requires, and who maintains the flow when the person who built it leaves.
What happens when a vendor changes their API?
With a supported, versioned API you get notice and a migration window. This is precisely why route two beats route four, and why integrations we build for managed clients are monitored, so a break becomes a ticket rather than a mystery three weeks later.
