What Does an AI Assessment Cost?

Nobody publishes a number, which makes it impossible to budget. Here is how AI assessments are actually priced, what drives the range up or down, and what you should expect to receive for the money.

Why Nobody Quotes a Number

Assessments Are Priced by Scope, Not by Seat

An AI assessment is professional services work. Its cost is a function of how many processes we examine, how many systems those processes touch, how many people we interview, and how regulated your industry is. A single-department review at a twelve-person firm and a company-wide review at a two-hundred-person practice are not the same engagement, and pretending they can share a price tag helps nobody.

What we will do is tell you the shape of the number before you commit. After one conversation about your business we come back with a written scope: what we would examine, who we would need to talk to, roughly how long it takes, and what it costs. If that number is not right for you, nothing has been spent.

For context, an assessment costs materially less than the implementation it informs, and considerably less than an implementation that goes wrong. The most expensive AI project we have ever seen was one that skipped this step.

The figures on this page come from assessments we have actually quoted for Dallas businesses, not from a national average. Costs in this market sit where they do partly because we are twenty minutes up the road in Plano, so scoping visits do not carry travel time you would pay for.

How Many Processes Are in Scope

One department with three workflows is a short engagement. A whole-company review across sales, operations, and billing is not. Narrowing scope is the single most effective way to lower cost.

How Many Systems Are Involved

Each additional platform, practice management, CRM, accounting, document storage, adds a data-reachability question that has to be answered rather than assumed.

How Many People We Interview

The findings come from the people doing the work, not from a questionnaire. More stakeholders means more time, and it is time that materially improves the output.

Whether You Are Regulated

If processes are already written down, we verify. If they exist only in people’s heads, we have to reconstruct them first, which is valuable, and takes longer.

Six written deliverables: a current-state process map, a ranked use-case shortlist, a data-readiness review, a security and compliance flag list, a phased roadmap with sequencing, and a plain-language summary for whoever signs off. They are yours, and they are written to be actionable by any competent implementer, including one who is not us.

What It Prevents

The most common outcome we are hired to clean up is a year of licenses nobody used, bought because a vendor demo was convincing and nobody checked whether the underlying data was reachable. That bill recurs monthly. An assessment is once.

A note on how we quote

We scope project work as a fixed fee, not hourly, so the number you approve is the number you pay. Ongoing AI support, if you want it after implementation, is folded into flat monthly managed IT rather than billed as a separate line. Licensing, Microsoft 365 Copilot and similar, you may already own, and we will tell you if you do.

What owners ask about assessment pricing before they call.

Why will you not publish a price?

Because a published price would be either high enough to cover the largest engagement or low enough to require change orders on most of them. Neither is honest. We would rather spend twenty minutes understanding your scope and give you a real number you can budget against.

That is a conversation worth having when we scope, and it depends on what the assessment finds. What we will not do is price the assessment as a loss leader that only makes sense if you buy the implementation. That creates an incentive to recommend implementation regardless of what we find.

A single-process assessment. Pick the one workflow that annoys you most, and we scope only that. It is the smallest engagement that still produces a real answer, and it is how a good number of our clients start before widening scope later.

Then you have paid once to avoid paying monthly for something that would not have worked, and you have a prioritized list of what to fix first. That is a successful assessment. See Do You Need Al, or Just Better IT? for how often that is the honest answer.

No. The roadmap is yours outright and is written so any competent implementer can act on it, including your internal team. We would like the work, but the deliverable is not held hostage to it.
