Which processes are usually worth automating first?

The high-volume, low-variation ones with clear rules and reachable data. Document intake and re-keying, routine confirmations and follow-ups, recurring report assembly, and exception flagging. We screen every candidate on volume, rule clarity, data quality, and the cost of being wrong before recommending it.

The work we target is the re-keying, searching, and chasing that sits around someone’s actual job, not the job itself. For most businesses our size the binding constraint is capacity rather than headcount, so teams typically absorb more volume instead of shrinking. If your goal is specifically headcount reduction, we would rather discuss that openly up front.

That is where we start. Before recommending anything new we look at what your current systems can already do, since the cheapest automation is often a capability you already pay for and have not switched on. Where genuine integration is needed, we scope it against what your systems can realistically support.

It should be visible and recoverable, which is why failure cost is a screening criterion. Steps where a wrong answer is expensive keep a human reviewing the output. We also define escalation paths during handover so your team knows what to do rather than guessing.
We establish a baseline during workflow mapping, roughly what the process costs today in hours or error rate, and run the automation in parallel with the manual version during the pilot. If the numbers do not improve, that is a finding we report rather than bury.

Processes always change. We document what the automation does and the assumptions it relies on, so it can be adjusted rather than reverse- engineered. Ongoing monitoring is part of the support arrangement, and material process changes are a normal trigger to revisit it.

Readiness Work Is Usually Cheaper Than People Fear

Most of what makes a business ready for AI is unglamorous and bounded: tidying permissions, documenting a process, cleaning a few thousand records. It is quotable work with a visible end, and it holds its value even if you never buy an AI license.

Foundation work first

Permissions review and process documentation are typically days rather than weeks when scoped to one workflow. We deliberately do not sell a company-wide data cleanup. It never finishes.

Then a small first build

You may already own the license. Microsoft 365 subscriptions frequently include AI capability nobody has switched on, and we check that before recommending a purchase.
