WHY THIS IS THE SWEET SPOT
Messy Input, Clear Output, Human Check
Document work has the exact profile where AI outperforms both a rule and, in speed terms, a person: the input is unstructured and varies every time, but what you want out of it is consistent and checkable. A rule cannot read a supplier invoice laid out four different ways. A person can, and it takes them four minutes each, several hundred times a month.
It is also low-risk in a way that customer-facing automation is not. The output lands in front of someone who was going to read the document anyway. They are now checking a summary and extracted fields instead of starting from a blank page. Keeping that check meaningful rather than habitual is its own design problem, covered in where human review has to sit. The human review that makes it safe is the same review that was already happening.
Document handling is the first place most Dallas businesses see AI earn its keep, because the volume is high and the judgment required per document is low. The intake forms, insurance letters, and signed agreements moving through a Plano or Dallas office every week are the obvious starting point.

Pull line items, dates, and totals from supplier documents into your accounting system, with anything uncertain flagged rather than guessed.
Referral and Intake Packet Triage
Read an inbound packet, extract the fields your system needs, and route it to the right queue with a summary attached. Common in medical and home health.
Contract Comparison
Compare an incoming agreement against your standard terms and surface only what differs. A review task, not a decision, the lawyer still decides.
Meeting and Call Summaries
Notes and action items written into the right record automatically. Consent and retention policy have to be settled first. That is a policy question, not a technical one.
Internal Knowledge Search
Ask a question and get an answer drawn from your own documents with a citation to the source. Requires permissions to be right first, no exceptions.
Grant and Compliance Reporting
Assemble a recurring report from the same sources each period, leaving a person to review and sign rather than to gather. Popular with non-profits.
Confidence, not certainty
Every one of these should flag what it was unsure about rather than presenting all output with equal confidence. A workflow that says “I extracted twelve fields, I am unsure about these two” is trustworthy. One that presents everything identically trains people to stop checking, which is when the first real error gets through.
How accurate is extraction, really?
Good enough to be useful, not good enough to remove the reviewer, and that is the right design anyway. The measure that matters is not raw accuracy but whether reviewing the output is meaningfully faster than doing the work from scratch. We test that on your real documents before committing.
Our documents are scanned PDFs, some of them poor quality.
Workable, and quality matters more than people expect. Faxed referrals and photographed forms are harder than clean digital files. We run a sample through before scoping so the estimate reflects your actual documents rather than an ideal case.
Do the documents leave our systems?
That is a design decision we make deliberately, and for regulated data the answer is usually no, processing stays inside your tenant under your existing agreements. It is the first question we settle, not the last. See how to vet an AI vendor.
